Sharing Data

Online Orders
We gather the following information during customer account creation or guest checkout. This data is stored on our hosting company’s server. We use this data to process and deliver the order. We will keep this data for a min of 1 year after the customer has placed their most recent order. The data is deleted when it’s no longer needed.

- Deliver Address – where the customer wants the order delivered

We share the customer’s name and delivery address with our courier, in some cases we will share a telephone number and email address when the delivery is for larger items.
We collect the card payment details (card number, start date, expiry date, CVV code) through our payment gateway. The gateway holds the details, we as a business do not.
We share the customer’s name and billing address along with details of the items ordered to our payment gateway.
Custom Orders
We gather the following information when a customer places an order for a customised item. This data is stored on a paper order form, in email or on our online shop depending how the order is placed. We use this data to process the order. We will keep this data for a min of 4 months after the customer has collected their order. The data is destroyed when it’s no longer needed.

- Telephone Number
- Email address
- Customisation details which may include but is not exclusively limited to:
- Name (Including nicknames)
- Rank
- Service Number
- Dates of events
- Details of awards won
- Personal images
If the order is fulfilled by one of our partners the data required to process the order is passed on to them.
Telephone/Email Orders
We gather the following information from the customer during a phone call or email. This data is stored on paper forms or/and on our email server. We use this data to process and deliver the order. We will keep this data for at least 6 months after the customer’s order has been dispatched.

- Billing Address – that matches the address requested to the card used for payment
- Deliver Address – where the customer wants the order delivered

- Email address
We share the customer’s name and delivery address with our courier, in some cases we will share a telephone number and email address when the delivery includes larger items.

Framing Orders
We gather the following information when a customer places an order for a framing job. This data is stored on our frame job management software and on paper. We use this data to process the order. We will keep this data for a min of 1 year after the customer has collected their most recent order. The data is deleted when it’s no longer needed. Paper copies are kept for at least 4 months.

You can also request the data from your online orders if you have an account through your account page.
When we receive a data information or data removal request we aim to process within 10 working days. We will provide the data in PDF format where applicable.
